Zapier consultant or n8n expert? What small businesses should know before hiring

Most small businesses don't need an ongoing automation retainer. They need one painful process fixed properly. Here's how to choose a platform and a builder, and what a fair scope looks like.

Zapier vs Make vs n8n, briefly

  • Zapier: the easiest to edit yourself, with the most app integrations. It charges per task (each step that runs), so costs can grow with busy multi-step flows.
  • Make: visual and flexible, and usually cheaper than Zapier for the same work.
  • n8n: charges per workflow run rather than per step, and can be self-hosted. It's strong for AI steps and custom APIs. A good default when someone else builds and maintains the workflow.

What to ask any Zapier or n8n consultant

  1. What exactly is in scope, and what isn't?
  2. What happens when a step fails? (Look for retries and alerts.)
  3. Who owns the workflow and the accounts?
  4. Will I get documentation and a walkthrough?
  5. What will it cost to run each month on my plan?

What these projects typically cost

Published ranges vary widely. Upwork's own guide puts a single Zapier workflow such as "lead form to CRM sync" at $300–$800 per project, and agencies often start around $900–$2,000 per workflow. Fixed-price packages make the cost predictable.

Our approach

Four fixed-price packages, each one workflow done properly, built on n8n by default or on your existing Zapier or Make plan: lead capture, invoice reminders, AI inbox triage, and appointment reminders with review requests. See Speed-to-Lead and our other automations.
